Key Responsibilities:
Team Leadership & Performance:
- Train, coach, and support front-desk personnel, scheduling coordinators, and treatment coordinators.
- Manage daily front-office task assignments to ensure optimal coverage, efficiency, and patient flow.
- Foster accountability and promote a collaborative, positive, and growth-oriented workplace culture.
Operations & Patient Flow:
- Oversee daily administrative operations to maximize clinical schedule efficiency.
- Serve as the escalation point for patient inquiries, financial discussions, and conflict resolution.
- Implement and optimize office systems, management policies, and communication protocols.
Marketing & Social Media:
- Monitor and implement creative internal and external marketing strategies.
- Track and analyze doctor and patient referral sources.
- Utilize social media platforms as an active layer for practice communication and advertising.
Required Qualifications:
- Experience: Minimum 2-3 years of administrative experience strictly within an orthodontic or dental practice.
- Leadership: Proven leadership capability with prior experience managing a team or acting as a shift/department lead.
- Software: High proficiency in dental/orthodontic software, preferably Cloud9.
- Financial Acumen: Strong understanding of orthodontic insurance billing, pre-authorizations, ledger management, and third-party financing solutions.
- Soft Skills: Exceptional multitasking and communication skills under pressure.
- Work History: Results-driven professional with a strong performance record and a stable work history and able to provide 2 professional references.
